Job Description for Front Office Open office at 9.30 am or as directed. Monitor day to day operation of the office Attend to office visitors in a courteous and polite manner Respond to all enquiries from clients and job seekers both on the phone and electronic emails; Answer phone, screen calls and forward calls to extensions. Take messages and relate calls as necessary Send time sheet to new Customers and train on how to complete time-sheet. Pick-up mails and deliver to appropriate office as necessary, as a result of security reasons mail should not be opened unless directed to do. Follow-up to collect time sheet in a timely fashion, Scan time-sheet to the system with required identifications for easy retrieve and enter time-sheet to the system for Payroll. Conduct test to ascertain their level of competency and also verify reference checks for candidates in anticipation of clients’ request. Maintain records of available workers and keep hot list for dispatch, Dispatch candidate to work as necessary. Prepare cheques for courier and post office; maintain the log for courier cheques, mailed cheques and posted cheques for easy tracking. Up keep of the office and common areas i.e. removing waste paper basket, tied and placed in the designated location. Report all incidents and copy all correspondence through email to my attention You may be assigned other duties as necessary in the office. May 7, 2012
